Terms and Conditions

Airport Specialists Cars Limited are a licensed private hire company based in Trowbridge and licensed by Wiltshire Council.


All vehicles must be pre-booked under the following terms and conditions.

All bookings must be made either by telephone, email, our Passenger App or on our Website www.airportspecialists.co.uk

No reservation submitted by the passenger is considered as accepted until confirm by Airport Specialists Cars  by providing the passenger with a confirmation email to confirm the booking. Please note a confirmation will only be received if you supply the correct email address. If  no email is received within 24 hours (please check your Spam folder) call us on 01225764141

All prices are quoted per car and not per passenger.

All fares quoted are for point to point and any diversions will be charged at additional rates.

Bookers are responsible for providing and checking that all information is correct, Date, Time, Location, size of vehicle.

It is regrettable that the carrying of pets is not permitted in any of our vehicles.

It is the passenger’s responsibility to ensure that they order the correct type of vehicle to carry the numbers of passengers and luggage.

We reserve the right to refuse any passenger our services due to passenger having excess luggage which would result in the vehicle being unsafe on the road.

Baby/Child Seats

Please note babies are counted as passengers. This is important when considering the size of the vehicle you wish to choose; we can provide baby/booster seat if requested at time of the booking (subject to availability). The passenger must specify child’s age.

Usage of child seats is entirely at the passenger's discretion, and we cannot be held responsible or liable for their usage.

You are welcome to use your own baby seats and we can store them securely in the office for use on return airport journeys. Subject to availability space (We must be informed in advance)

The Journey

We reserve the right to refuse to carry any person who is thought to be under the influence of alcohol or drugs whose behaviour may poses a threat to the Driver or vehicle.

In the unlikely event that the vehicle is soiled by any passenger/Child during the journey, the customer will be invoiced £100.00 to cover cleaning costs.

Eating and drinking in the vehicle is not permitted apart from water without the drivers consent.

Airport Specialists Cars Ltd maintains a strict non-smoking policy in all its vehicles.


Airport Specialists Cars ltd cannot be held responsible for any loss financial, professional, missed connection times, flights, trains, due to the private hire vehicle not arriving at the pickup address at the booked time due to adverse weather, traffic conditions, or road traffic accidents or road closures or being given the wrong booking information by the customer.

Airport Specialists Cars ltd shall not be deemed responsible if the passenger does not reach his/her destination for the following reasons.

Act of nature, explosion, flood, tempest, fire or accident, War or threat of War, sabotage, insurrection, civil disturbance, or requisition.

Acts, restrictions, regulations, bylaws, prohibitions, or measures of any kind on the part of any governmental, parliamentary, or local authority.

Traffic accidents, traffic hold ups, traffic congestion, diversions, Strikes, lockouts or other industrial actions or trade disputes (whether involving employees of the service provider or of a third party)

Flight delays and / or flight cancellations.

Power failure or breakdown in the machinery including computer and email systems, networks and our website or booking system.

Vehicle breakdown or driver illness.



All vehicles are covered by Public Liability Insurance.

The Customer must not load any vehicle beyond the number of passengers that it is legally permitted to carry.

We reserve the right to change your vehicle or Driver at any time if necessary.

Our Driver will travel by the most appropriate route according to the condition on the road on the day, unless instructed otherwise by the Customer.

We may provide subcontracted vehicles occasionally.

Clients’ property is carried entirely at the customers own risk, Airport Specialists Cars Ltd shall not be held responsible or liable for any loss, damage to property either when loading or unloading from the vehicle or during the journey.

 We will keep lost property at their office and try to return any lost goods left in our vehicles to the customer.

Seasonal surcharges apply on specific dates. An extra 50% surcharge will be added to bookings on 24th, 26th, 31st of December and 1st January . An extra 100% surcharge will be added to 25th of December.


Airport Transfers

For all pickups from the airports, we allow 60 minutes free waiting time once the driver has entered the arrivals hall, there after waiting time will be charged.

Our driver will come into the airport approx. 30 minutes after the plane has landed unless otherwise instructed to by the customer.

Flight delays are excluded from this charge because we monitor all inbound flight arrivals.

Please ensure you give us your arrival time and date in the UK and not your departing information.

Passengers are strongly advised to give enough time for their journey, especially passengers travelling to the airport.

Please call our office if you cannot locate our driver at the airport on 01225 764141 or late at night 07977173598. If the passenger misses their flight, you must inform us immediately so that we will notify the driver not to enter the airport for that pickup.

No responsibilities for costs are to be refunded to any passengers who do not wait for their driver and take alternative transport.


The  prices are based on Passengers being ready to travel at the booked time.

We accept all major Credit/Debit Cards but this must be done in advance.

Cash fares are paid to the driver in British Sterling £ at the end of your journey in full.

Account holder’s payment terms are within 14 days from the date of invoice.

Cancellation Policy

You must advise us as to any changes/ cancellation as soon as possible.

If a booking is cancelled by the Customer within 24 hours from the start of the hire, a 50% charge will be incurred.

If a booking is cancelled by the Customer within 12 hours from the start of the of hire, a 100% charge will be incurred.

This includes giving us the wrong information such as incorrect date on your booking confirmation.


These terms and conditions do not affect your statutory rights.

Airport Specialists Cars Ltd may change or amend any of these terms and conditions at any time.
